The Show Date Does Not Move

Everything else on a tour can flex. The date on the ticket cannot. When a soundcheck is at four and the venue is in another country, scheduled aviation stops being a travel option and becomes a risk. Charter exists to take that risk off the table.

Starflight Aviation has been moving artists, crew and production since 1990, starting with the 250 helicopter movements we coordinated at Knebworth in our first year of trading. Thirty-five years later we still work the same way: one team, one point of contact, and a routing built around the run of show rather than an airline timetable.

What We Handle

Music tour charter arranged by Starflight Aviation

Booking the aircraft is the straightforward part. Most of the work on a tour movement sits either side of the flight, and it is where a run of dates is won or lost.

  • Multi-date routing. Whole legs planned together rather than flight by flight, including aircraft repositioning between dates so the tour is not paying for empty sectors it does not need.
  • Crew duty limits. Back-to-back show days run into flight crew duty rules. We build the schedule around them in advance rather than discovering the problem at midnight.
  • Freight and carnets. ATA carnets, customs clearance and oversize equipment handled as part of the booking, not left with the tour manager.
  • Visas and permits. Overflight and landing permits across multiple territories, and guidance on where lead times are genuinely tight.
  • Ground and airside access. Vehicles to the aircraft steps where the airport allows it, keeping the movement between venue and cabin short and unobserved.
  • Late changes. Shows overrun and dates move. One number, answered at any hour, by someone who already has the file open.

We do not publish client names, and we do not use tour work in marketing without written permission. That has been the policy since 1990 and it is the reason a good deal of this work comes back to us.

Can you move a full touring party rather than just the artist?

Yes. We arrange everything from a light jet carrying an artist and two people through to a narrowbody airliner carrying a hundred and eighty crew with the kit in the hold. For larger tours it is often cheaper to split the movement, sending advance crew on one aircraft and talent on another timed to the show. Give us the party size, the equipment list and the dates and we will price the sensible options rather than just the biggest aircraft.

Can you carry instruments, backline and production equipment?

Yes. Hold capacity varies enormously by aircraft type, and it is usually the deciding factor rather than seat count. Guitars and hand-carried instruments travel with the party on most midsize aircraft and above. Backline, staging, lighting and flight cases need either an airliner-class aircraft with a proper hold or a separate cargo movement, which we can arrange alongside the passenger flight. Send us the equipment manifest with weights and dimensions and we will confirm what fits.

Do you handle carnets and customs for equipment?

Yes. ATA carnets, customs clearance and temporary import documentation are handled as part of the booking. This matters most on multi-territory runs, where equipment crossing several borders in a week is the single most common cause of a delayed load-in. We will flag any territory where the lead time is tighter than the tour schedule allows, ideally before the routing is locked.

How quickly can you arrange a flight if a show overruns?

If the aircraft and crew are already positioned for you, a departure slot can usually be moved within the hour, subject to airport opening times and crew duty limits. Those two constraints are the real limit, not the aircraft. We plan for overruns in advance on tour bookings by building slack into the departure time and identifying an alternate airport where the base airport has a curfew.

How do you protect client confidentiality?

Starflight is certified to ISO 27001, the international standard for information security, and holds Cyber Essentials certification. In practice that means passenger names, manifests and itineraries are handled under audited controls and shared only with the parties who need them to operate the flight. We do not publish client names and we do not use tour work in our marketing without written permission. Where an operator supports it, we can also request that the aircraft registration is withheld from public tracking.

Can you cover a whole tour rather than individual flights?

Yes, and it is usually the better way to do it. Booking a run of dates together lets us plan aircraft positioning across the whole leg, which often removes empty sectors the tour would otherwise pay for. It also means one aircraft and one crew become familiar with the party and the routine. We will quote a tour leg as a single package and show you how it compares with booking each flight separately.

Do you work with film and television productions?

Yes. Production charter follows much the same logic as touring: fixed dates, expensive downtime and equipment that has to arrive with the crew. We move cast, crew and kit to location, including remote shoots where the nearest scheduled airport would cost a full shooting day in ground transfers. We can also arrange helicopter legs for location access and aerial work positioning.

Can you fly into festival sites and small regional airfields?

Yes. This is one of the clearest advantages of charter over scheduled travel. We can use regional airfields far closer to a festival site than any commercial airport, and where the site itself has a suitable landing area we can arrange a helicopter leg for the final stretch. Runway length and handling availability determine which aircraft can use a given airfield, so tell us the site early and we will work backwards from it.

What happens if a date is cancelled or moved?

Cancellation terms are set by the operator and vary by aircraft and by how close to departure the change falls. We will always set those terms out clearly at the point of quoting rather than burying them, and on multi-date bookings we will tell you which parts of the routing are flexible and which are not. Where a date moves rather than cancels, we will normally look to rebook the same aircraft first.

What does a tour charter cost?

Cost is driven by aircraft size, sector length, how far the aircraft has to position to reach you, the number of dates in the run, crew duty and overnight requirements, and airport and handling fees at each end. A single European sector on a midsize jet and a transatlantic movement on an airliner sit in completely different territory, so a headline hourly rate tells you very little. We quote the total cost of the movement, itemised, with the cancellation terms alongside it. Send us the dates and party size and we will come back with real numbers.
